CONTROLLER & ADMINISTRATIVE DIRECTOR

Job Description

We are looking for a Controller / Administrative Director to join the Mom’s team!

This is a key leadership role within our growing custom design-build landscape firm. We are seeking a highly motivated and experienced professional who will oversee the company’s financial management, lead HR operations, and direct all administrative functions. The ideal candidate brings a strong financial background, proven HR expertise, and the ability to develop and improve internal systems and processes — including supporting and strengthening our “Mom’s Way” operational framework.

Financial Management

  • Oversee all financial operations, including budgeting, reporting, forecasting, and cash flow management

  • Develop, implement, and continuously improve financial and operational systems to ensure accuracy, efficiency, and scalability across all departments
  • Manage all financial transactions, including invoicing, accounts payable and receivable, bank reconciliations, payroll, sales and use tax, and budgeting
  • Develop and oversee job costing systems to ensure accurate tracking of project expenses, labor, overhead recovery, and profitability, and collaborate with team to ensure target level of profitability
  • Develop and implement financial policies and procedures to ensure the efficient and effective management of the company’s finances
  • Monitor cash flow and manage banking relationships
  • Coordinate with outside consultants, auditors, and legal counsel as needed

Human Resources

  • Lead and manage all HR functions, including recruitment, onboarding, performance management, and policy development

  • Oversee HR systems and processes, including recruitment, onboarding, employee relations, performance management, and compliance with employment laws and regulations
  • Manage employee relations and ensure a positive workplace culture
  • Administer employee benefits programs and ensure compliance with all applicable regulations

Administrative Responsibilities 

  • Develop and implement efficient systems and internal processes

  • Oversee daily administrative operations to ensure a well-organized and effective office environment

  • Support leadership with strategic planning and operational improvements

  • Participate in leadership team meetings; prepare agendas and record minutes

  • Serve as a backup for the Office Manager as needed, maintaining seamless office operations

  • Create, document, and maintain procedural and policy manuals (“The Mom’s Way”) 
  • Management of company CRM and other IT needs 

Job Requirements

5+ years of experience in financial management, HR, and/or office administration

Strong knowledge of accounting principles and financial management practices

Proven ability to develop and improve systems and processes

Demonstrated experience in HR operations, including recruitment, onboarding, and performance management

Self-starter with the ability to thrive in a dynamic, growth-oriented environment

Exceptional attention to detail and accuracy 

Strong communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization

Proficiency with Microsoft Office Suite and QuickBooks is required. General Software systems proficiency critical with overall management of workflow currently include Buildertrend, Slack, and SharePoint
